CCIS Request System Overview

Why do we have a CCIS/Request System?

These are the major objectives of our CCIS / Request System:

        1. Manage the completion of Requests to satisfy the Co-owners.
        2. Monitor and adjust service vendors based on Co-owners’ feedback.
        3. Manage Requests consistently and at the appropriate level.
        4. Provide historical data related to recurring problems.
        5. Maintain tribal knowledge through transition of board members and management company personnel.
        6. Provide facts for communicating with Co-owners about monthly fees, assessments, and other property maintenance decisions.
        7. Analyze the issues that drive costs for common-property assets (buildings, irrigation, driveways, and the like) and then:
          1. Identify maintenance trends to proactively address
          2. Budget and assess Co-owners appropriately
        8. Reduce HTCA management/administration costs and/or increase capacity by
          1. Allowing Co-owners the ability to submit on-line Requests.
          2. Giving service suppliers the ability to submit on-line invoices to close  work orders (itemized by expense categories).
          3. Enabling responsible parties to quickly identify open issues and complete them.
          4. Closing more Requests faster to minimize efforts at finding/reporting status and other follow-up activities.

What is the CCIS?

CCIS is the Computerized Condo Information System.

InformationCCIS stores information about people and our co-owned assets.

      • Buildings
      • Individual Condo Units, Styles, and Addresses
      • Current Condo Owners and Contact Information
      • Past Co-owners
      • Vendors and Contact Information
      • External Modifications: permanent, limited, etc. (coming soon)

Request ManagementCCIS routes information to the people who need to know.

      • Co-owners’ requests are immediately available for the Management Company
      • Vendors, Board Members, and Management Companies are notified when they need to respond to estimates, approvals, or Work Orders
      • All people involved in the Requests and Work Orders can make comments and upload photos and documents in one place for everyone else to see.

Security ManagerCCIS limits access to people with login credentials. This allows us to use it to control access to secure documents requested from our website (www.HarbourTowneCondos.com).

Who can use CCIS?

      • Harbour Towne Co-owners with login credentials. Contact the Management  Company to get yours.
      • Vendors who are invited to serve our community are given credentials by the Management Company.

Where/When is CCIS accessed?

      • CCIS/Request System can be accessed directly, or through any of the Protected Resources (secure document) links on the website.
      • CCIS/Request System is available 24 hours per day 365 days per year.
